A renewal date is easy to spot; a sound decision needs context. One short card per service helps a small agency or consultancy review it before the next billing cycle.

Keep the card in a shared operations list or approved record system. Name one owner to gather facts and bring a recommendation to the decision-maker.

The card

Service and vendor: Use the familiar service name and vendor reference, if useful.

Owner: Name who coordinates the review; account changes may need a different authorised person. Set a status such as checking, decision recorded or action complete, so the list can be scanned quickly.

Renewal date: Record the date, billing frequency and currency. Check the latest vendor notice or account record.

Cancellation notice deadline: Record the vendor’s stated deadline and link to the relevant account page or terms. If unclear, assign someone to verify it. A reminder or saved card is not notice. Add when and where the deadline was checked so the next reviewer can retrace it.

What the team actually uses: List the job supported, who uses it, and when it was last needed. Distinguish regular use from one-off work or a backup. Unclear use calls for investigation, not an automatic cancellation.

Export and dependency check: Before a change, identify work or records to export, who needs access, and any dependent workflow. Note what the team has verified and what remains open; check current vendor options instead of assuming data can be recovered or moved later.

Decision and date: Choose “keep” or “review,” and record the decision-maker and date. “Review” needs an owner and next action. Any account change should be handled by an authorised person through the vendor’s process, with the outcome recorded.

Put the reminder where it can work

Set a review reminder before the verified notice deadline and assign it to a person. Update the card with the decision and next review date.

ToolsPad’s Subscription Tracker documents renewal schedules, multi-currency costs, owners, vendors and reminders.

The aim is not to cancel more software. It is to decide deliberately, with time to understand what the service supports and what a change would affect.
